Administrative Assistant
Entry level Administrative Assistants are tasked with general administrative duties such as answer phones, schedule meetings, minutes, data entry, order office supplies, file, copy, scan, and other related activities. Mid-level Administrative Assistants handle many general duties and take on additional responsibilities that may involve team meetings, presentations, public speaking, and/or special project tasks. Senior or Executive level Administrative Assistants are often responsible for higher level activities such as data analysis, procedure development, and records or database development in addition to the responsibility of oversight and product of other personnel.

Contract Administrator
Contract Administrators are involved in pre and post-award phases of contracts and subcontracts; review, negotiate, and administer business aspects, terms and conditions, pricing, risk management and mitigation of contracts and subcontracts. They analyze requests for proposal (RFP´s) and contract terms and conditions to assess business risk, develop pricing strategy, and support contract compliance efforts. Further a Contract Administrator provides clarification, negotiates change orders, and coordinates with the legal department to negotiate and resolve claims while remaining in compliance with federal, state and industry regulations.

Contract Specialist
Contract Specialists assist the contract development team by handling various contract specific duties including processing invoices, change orders and purchase orders. They are required to attend all pre-bid meetings, as well as create and maintain contract and invoice files. They are also responsible for tracking and identifying expiring contracts, new and renewal contract development, as well as processing contract renewals and field performance reports.

Contract Support Specialist - CSS (Office Engineer)
Contract Support Specialists work directly with the field inspectors. The inspectors record the quantity of each item that a contractor places in the field each day. The inspector transmits the quantities to the CSS. At the end of each month, the CSS compiles a monthly estimate. This monthly estimate of work completed allows contractor to invoice the owner for those items that were properly installed (according to plans and specifications). The CSS is also responsible for providing the final estimate to close the project out. The CSS position requires a methodical mind and strong organizational and mathematical skill set.

Bookkeeper
Bookkeepers are responsible for accounts payable, accounts receivable, cash activities, monthly financial statements, bank reconciliations, bank transactions, audits, general ledger, journal entries and payroll. Bookkeepers are detail oriented, consistently achieve accurate data entry and possess a solid knowledge of Microsoft Excel and leading accounting software products.

EEO/RCO Specialist
An EEO/RCO Specialist is tasked with direct oversight of a contractor’s payroll (assuring minimum wage compliance), on the job training schedules (assuring fulfillment of requirements of each job), regular inspection of required construction site posters, and monthly monitoring of Equal Employment Opportunity (EEO) and Disadvantaged Business Enterprise (DBE) compliance. In addition to compliance, the RCO is responsible for all administrative day to day activities such as phones, correspondence, scanning, copying and filing.

Emergency Operations Assistant
Tasks under the Emergency Operations Assistant include developing and maintaining multiple databases, including other Department of Transportation Districts, County, Federal, and State emergency contacts; all employee contact information, among others. Additional duties performed include set up and monitor the Emergency Operations Center, answer phones, direct calls and assist the Emergency Manager as needed.

Fleet Staff Assistant
Fleet Staff Assistants provide a range of support to the Fleet Manager. This support includes preventative maintenance scheduling and follow up, tracking motor logs, transponder accounts and gas receipts. This position also assists the Fleet Manager with the procurement of new vehicles, data entry, receiving and distributing transponders, as well as assisting with the development of training programs. Strong follow-up and tracking skills are needed to be successful in this position.

Office Manager
Office Managers perform a myriad of functions concurrently. Office Managers are typically well organized and tasked with a wide variety of responsibilities, including complete office oversight: financial operations, various insurance purchase, negotiation and renewal, administer benefits, human resource functions, maintenance of health and safety compliance, event planning, as well as directing, assisting and training subordinate individuals.

Permit Coordinator
Permit Coordinators move a permit through the permit life span. The permit process involves contact with various external customers who apply for a permit. Sometimes clarification and/or revision are needed to move the application to the next step in the process: payment. The permit life span continues with permitting plans review, acceptance, inspection, close out and archive. The Permit Coordinator moves the paperwork from one authorized individual to another and tracks the location and status of each step. This position requires strong organizational and follow-up skills.

Receptionist
Our Receptionist’s core responsibilities include greeting visitors, providing visitor badges, coordinating incoming traffic at the front desk, and answering phones. Receptionists are tasked with additional administrative tasks if the incoming phone call and visitor volume permits. The additional tasks would involve non-time sensitive support that might include data entry or word processing. This position requires a positive attitude and a pleasant phone voice.

Structures Technician
Structures Technicians provide work order coordination, structures inspection program support, construction project punch lists, process plan reviews, process invoices, and build and maintain multiple databases. Additional administrative duties include filing, data entry and archive. This position requires an extremely detail oriented individual with strong follow up skills. This candidate ideally has past construction experience including the ability to read a set of plans and decipher the language as well as the ability to apply past experience to present situations.

Work Order Personnel
Work Order Desk: Work order personnel typically receive a high volume of phone calls daily and are busy inputting data received via phone call or email as well as routing emergency issues to specific zone managers. Further, work order personnel are tasked with active invoice processing and close out. This position requires a high level of energy, exceptional listening skills and a positive attitude.
